How to Send Gifts to Your Team

In this article, we'll show you how to send gifts to your team.

What are Gifts?

Gifts are one-time additional balance credits to your team members' Atlas Cards as recognition for special events. For example: birthdays, year-end, important achievements, appreciation, etc.

Who can send gifts?

Account administrators only.

⚠️ To send a gift, the team member MUST already have their Atlas Card created. If they don't have one yet, you must first follow the steps in this article: How to onboard team members


How to access the Gifts feature

  1. In the left sidebar menu, click on "Gifts"

  2. Click the "Send gifts" button (upper right corner)

On this screen, you'll also see:

A summary of all gifts you've sent previously with:

  • Recipient (team member name and email)

  • Country

  • Status (Completed)

  • Amount (amount sent)

  • Sent (sending date)


Step-by-step guide to send a gift

Step 1: Select team members

You'll see a screen titled "Select members" with a list of all your team members who ALREADY have an Atlas Card.

Visible information for each team member:

  • Team member (name)

  • Mail (email)

  • Country (country with flag)

  • Birthday (date of birth, if registered)

  • Has a card (if they have a card: "Yes")

Selection options:

Option A: Individual selection

  • Check the box next to each specific team member

  • Useful for personalized gifts (e.g., birthdays)

Option B: Bulk selection

  • Check the main "Team member" checkbox in the header

  • All team members with cards will be selected

  • Useful for group events (e.g., team lunch, year-end gift, collective bonus)

Search bar:

  • Use the "Search name, email" field to find specific team members in long lists

💡 The "Summary" panel (right side) will show you:

  • Funds available: Available balance in your account

  • Team members: Number of people selected

  • Total gifted: Total amount to gift (updates in the next step)

  • Funds left: Balance remaining after sending

Once you've selected all recipients, click "Next" (bottom right corner).


Step 2: Define the gift amount

You'll see a screen titled "Add amount to gift" with the selected team members.

You have 2 ways to assign amounts:

Method A: Same amount for everyone

  1. Click any "Add one time as a gift" field

  2. Enter the amount in USD (example: 50.00)

  3. The system will automatically apply the same amount to all selected members

Method B: Different amounts per person

  1. Click each "Add one time as a gift" field individually

  2. Enter personalized amounts as appropriate

  3. Useful when you want to give different amounts by role, seniority, etc.

💰 The "Summary" updates in real-time:

  • Total gifted: Sum of all entered amounts

  • Funds left: Your remaining balance after sending

⚠️ The system will validate that you have sufficient funds before allowing the send.

Once you've entered all amounts, click "Next".


Step 3: Review and confirm

You'll see a screen titled "Review and confirm" with a complete summary.

Review especially:

✓ That the amounts are correct

✓ That the recipients are correct

✓ That your "Funds left" is sufficient for future operations

Available actions:

  • Back: Return to modify amounts or change selection

  • Send gift: Confirm and send the gifts

⚠️ IMPORTANT - This action is irreversible

Once you click "Send gift":

  • The process CANNOT be undone

  • Funds are transferred immediately

  • An automatic email is sent to each team member

  • The balance is credited to their Atlas Cards

If everything is correct, click "Send gift" (black button in the bottom right corner).


What happens after sending the gift?

For the team member:

  1. Receives an email with the following message:

  1. The balance is credited to their card:

Scenario A: Team member with existing balance

  • The gift amount is ADDED to the current balance

  • Can use the balance immediately

  • Example: Had $50 + Gift $100 = Total available $150

Scenario B: Team member with new card (not activated)

  • Must first activate their card following the instructions in the onboarding email

  • Once activated, will see the gift balance credited

  • Then can start using their card

For you (administrator):

  • The gift appears in your Gifts history with "Completed" status

  • Funds are deducted from your available account

  • You can see the complete record in the Gifts section


Difference between Gifts vs Card Programs with "One time"

💡 In summary:

  • Gifts → For additional recognition anytime

  • Card Programs "One time" → For initial assignment or scheduled benefits


Important points:

📧 The team member will receive an email notification immediately after sending. The email tone is celebratory and encourages using the gift.

💳 The gift has NO category restrictions. The team member can use the balance at any merchant, regardless of their main Card Program restrictions.

🔄 Gifts do NOT renew. It's a one-time amount credited once.

⏱️ The gift balance has no expiration date (except for Airwallex's own limitations, if any).

💰 Make sure you have sufficient funds in your account before sending bulk gifts.

🎯 If you send gifts frequently with the same amount (e.g., $50 for each birthday), consider creating an internal list or process to maintain consistency.


Frequently Asked Questions

  1. Q: Can I send a gift to someone who's not on my team yet?

    A: No. The team member MUST be registered in the system AND have their card created. You must first follow the team member onboarding process.

  2. Q: What happens if I make a mistake and send the gift to the wrong person?

    A: Gifts are irreversible. You must immediately contact clientes@heyatlas.com or support chat to see correction options.

  3. Q: Can I send multiple gifts to the same person?

    A: Yes, you can send as many gifts as you want to the same team member. Each gift will be added to their available balance.

  4. Q: Does the gift have category usage restrictions?

    A: No. Unlike Card Programs, gifts have NO category restrictions. The team member can use the balance at any merchant.

  5. Q: How long does it take for the gift balance to be reflected?

    A: The balance is credited immediately after clicking "Send gift". The team member can see it instantly on their card (if already activated).

  6. Q: Can I schedule a gift to be sent on a future date?

    A: No. Gifts are sent immediately upon confirmation. If you want to send a gift on a specific date, you must do it manually that day.

  7. Q: Do gifts affect the team member's Card Program monthly renewal?

    A: No. Gifts are completely independent of the Card Program. The monthly program will continue to renew normally.

  8. Q: Is there a limit on the gift amount?

    A: The only limit is the available balance in your account. Make sure you have sufficient funds for the total gifts you want to send.

  9. Q: Can I cancel a gift after sending it but before the team member uses it?

    A: No. Once sent, the balance is already credited to the team member's card. For exceptional cases, contact support.

  10. Q: If the team member resigns, what happens to the gift balance?

    A: It depends on the offboarding option you choose. See the article: How to offboard a team member


Common mistakes to avoid:

❌ Trying to send a gift to a team member without a created card ✅ First onboard the team member and have them activate their card

❌ Forgetting to review the Summary before confirming ✅ Always verify "Total gifted" and "Funds left"

❌ Sending amounts with many decimals (e.g., 33.33333) ✅ Use simple format: XX.00 (e.g., 50.00, 100.00)

❌ Not communicating internally the reason for the gift ✅ Consider sending an additional message explaining the recognition
