How to Edit a Team Member's Card Program

In this article, we'll show you how to change the Card Program assigned to a specific team member.

What is this for?

Modify an individual team member's benefits program without affecting the rest of the team. For example: promotions, role changes, personalized benefit adjustments.

Who can do this?

Account administrators only.

Important:

⚠️ This feature allows you to edit the Card Program of ONE team member at a time. If you need to change the program for multiple team members simultaneously, you'll need to repeat the process for each one.


Step-by-step guide

Step 1: Go to the home page

  • Log in to your Atlas account

  • Go to the home page (Home)

Step 2: Select the team member

  • Find the team member whose program you want to modify

  • Click on their currently assigned Card Program (appears in the team member's column)

Step 3: Choose the new configuration

A modal will open with 2 options:

  1. Option A: Select an existing Card Program

  • You'll see a dropdown with all your created Card Programs

  • Select the program you want to assign

  • The change will be scheduled for the next renewal

💡 Useful for: Promotions, department changes, standard benefit adjustments

2. Option B: Configure a custom Card Program

  • Click on "Custom" or "Configure custom program"

  • Define specific parameters for this team member:

    • Custom amount

    • Frequency (Monthly or One time)

    • Allowed categories

💡 Useful for: Exceptional cases, individual agreements, special bonuses

Step 4: Confirm the change

  • Review that the new configuration is correct

  • Click "Save" or "Confirm"

  • The new Card Program will be applied at the next renewal


Important points:

⏱️ Change scheduled for next renewal: Editing the Card Program is NOT immediate. The change will apply at the next monthly program renewal. The team member will continue using their current limit until their renewal date arrives.

💡 Need the change to be immediate? If you want the team member to have more balance available TODAY (without waiting for renewal), you must use the Gifts feature to send them additional one-time balance. See: How to send gifts to your team

📧 Notifications:

  • Edit Card Program: Does NOT send notification. You must communicate to the team member that their benefit will change at the next renewal.

  • Send Gift: DOES send automatic celebratory email informing the team member they received extra balance.

💰 Current balance is not modified: The team member's current available balance remains intact. The new program only affects the next renewal.

One team member at a time: This feature is for individual edits. For bulk changes, contact support.


Practical examples:

Scenario 1: Change for the future

  • Situation: Team member will be promoted and starting next month their benefit will be $150/month instead of $100/month

  • Solution: Edit their Card Program to "$150 Monthly"

  • Result: This month they continue with $100, next month they'll have $150

  • Notification: None (you communicate the good news about their promotion)

Scenario 2: Immediate additional balance

  • Situation: Team member completed important project and you want to give them $50 extra TODAY

  • Solution: Send a $50 one-time Gift

  • Result: Today they have $150 available ($100 from program + $50 gift)

  • Notification: Receives automatic email: "🎁 You received a gift on your Atlas Card!"

Scenario 3: Combination of both

  • Situation: Team member was promoted (permanent benefit) AND completed project (recognition)

  • Solution:

    1. Edit Card Program to "$150 Monthly" (for next month onwards)

    2. Send $50 one-time Gift (for today)

  • Result: Today they have $150 ($100 current program + $50 gift), and from next month they'll have $150 each month

  • Notification: Receives gift email. You communicate the promotion.


Frequently Asked Questions:

Q: Does the team member receive a notification when I edit their Card Program?

A: No. You must communicate directly that their benefit will change. If you use Gifts, they will receive an automatic email.

Q: Is the change applied immediately?

A: No. The change will apply at the next monthly program renewal. If you need the team member to have more balance today, use the Gifts feature (that one is immediate and notifies via email).

Q: What happens to the balance the team member already had this month?

A: The current month's available balance remains unchanged. The new program will apply when the renewal date arrives.

Q: I need my team member to have more balance TODAY, how do I do it?

A: Use the "Gifts" feature to send them additional one-time balance. They'll receive an email notification and the balance will be available immediately.

Q: Can I do both? Edit the program AND send a gift?

A: Yes, perfectly. Edit the program for permanent future changes, and send a gift for immediate additional balance. They are complementary features.

Q: When exactly is the change reflected?

A: On the team member's program monthly renewal date. For example, if their program renews on the 1st of each month, the change will be visible on the next 1st.

Q: If I change the program today (day 15), will the team member have the new limit on day 15 of next month?

A: No, the change will apply on their next renewal date (which could be the 1st of the month, depending on when they were originally assigned the program).

Q: Can I go back to the previous program if I make a mistake?

A: Yes, you can edit the program again and select the previous one.

Q: Do custom programs I create get saved?

A: Custom programs apply only to the specific team member. If you want to use the same configuration for others, it's better to create a formal Card Program.

Q: If I change from a Monthly program to One time, what happens?

A: The team member will receive the one-time amount and the program will not renew anymore. It's like giving them a final bonus.


Common mistakes to avoid:

❌ Thinking that editing the program sends a notification to the team member

✅ Editing program does NOT notify. Only Gifts send automatic email

❌ Thinking the change is immediate

✅ The change applies at the next renewal. For immediate changes, use Gifts

❌ Editing the program when you need additional balance TODAY

✅ For immediate balance with notification, use the "Send Gift" feature

❌ Not combining both features when appropriate

✅ For promotions: Edit program (future) + Send gift (immediate recognition)

❌ Not verifying the team member's renewal date

✅ Check when it will renew to know when they'll see the change
