How to Assign Cards to Team Members

In this article, we'll show you how to assign cards to team members.

What is this for?

Assign a Card Program to team members who are already registered in your system so they can start using their card.

Who can do this?

Account administrators only.

Prerequisites:

✓ Team members registered in the system
✓ Card Programs created
✓ Available funds in your account


Step 1: Start the assignment process

From your Atlas home page, click the "Assign cards" button located in the upper right corner.


Step 2: Select team members

You'll see a list of all team members who don't have an assigned card yet.

You have 2 options:

Option A: Individual selection

• Check the box next to each team member you want to include

• Useful when you only want to assign cards to specific people

Option B: Bulk selection

• Check the main "Team member" checkbox in the header

• This will automatically select all team members on the list

• Useful for assigning cards to the entire team at once

💡 Tip: On the right panel, you'll see a real-time summary:

• Funds available: Total available balance in your account

• Team members: Number of people selected

• Total to be assigned: Amount that will be assigned (updates when selecting programs)

• Funds left: Balance remaining after assignment

Once you've selected all desired team members, click "Continue".


Step 3: Assign Card Programs

Now you must select which Card Program each team member will receive.

You have 2 ways to assign:

Method A: Same program for everyone

If you want all selected team members to receive the same program:

  1. Click the "Select the card program for the selected persons" button (appears in blue at the top)

  2. A dropdown will open with all your available Card Programs

  3. Select the desired program

  4. It will be automatically assigned to all team members

In the dropdown, you'll see each program with:

• Program name: E.g., "Wellness", "Test (25 USD)"

• Amount/Frequency: E.g., "$100/month", "$25/month"

• Categories: E.g., "Gyms And Wellness", "Food And Groceries", "All categories"

Method B: Different programs per team member

If you want to assign different programs:

  1. Click the "Select card program" dropdown next to each team member

  2. Choose the corresponding program for that person

  3. Repeat for each team member

In this example:

• Karen Serfaty (Portugal): GOLD (75usd) → $75/month

• Karen Serfaty (Brazil): DIAMOND (100usd) → $100/month

• Nicolas Shuga (Brazil): SILVER (50usd) → $50/month

💰 The summary updates automatically:

• Total to be assigned: $225.00 (sum of all programs)

• Funds left: $15,366.05 (remaining funds)


Step 4: Confirm and assign

Once all team members have their program selected:

  1. Review the summary on the right panel

  2. Verify that "Funds left" is sufficient for future assignments

  3. Click "Assign cards"

  • ⚠️ IMPORTANT - This action is irreversible:
    Once you click "Assign cards", the process cannot be undone
    • An email is automatically sent to the team member notifying them that their card is ready to activate
    • The program balance is reserved from your available account

What happens after assigning?

For the team member:

  1. Receives an automatic email from Atlas

  2. The email contains instructions to activate their card

  3. Must complete their individual verification process

  4. Once verified, can start using their card

For you (administrator):

Team members now appear in your "Team" view with:

• Card status: "Pending" (until they activate) or "Active" (already activated)

• Card program: The program you assigned them

• Budget: Spent balance vs. available balance


Important points:

⚠️ Irreversible action: If you make a mistake when assigning (e.g., wrong program, wrong person), you must immediately contact clientes@heyatlas.com or use the support chat to request help.

📧 Automatic email: The team member will receive their activation email immediately after assignment. Make sure you've selected correctly before confirming.

💰 Fund verification: The system validates that you have sufficient funds before allowing assignment. If you need more balance, you must fund your account before continuing.

🔄 Monthly programs: Remember that if you assigned a program with "Monthly" frequency, that amount will automatically renew each month.


Frequently Asked Questions:

  1. Q: Can I assign multiple programs to the same team member?

    A: Yes, a team member can have multiple Card Programs assigned simultaneously (e.g., monthly flexible benefit + birthday bonus).

  2. Q: What happens if I don't have sufficient funds?

    A: The system will prevent you from completing the assignment. You'll need to add funds to your account first.

  3. Q: Can I change the program after assigning it?

    A: Once assigned, you cannot change it directly. You must contact support for modifications.

  4. Q: How long does it take for the email to reach the team member?

    A: The email is sent immediately after clicking "Assign cards".

  5. Q: What happens if the team member doesn't activate their card?

    A: The card will remain in "Pending" status and the balance will be reserved until activated. You can track it from your "Team" view.

  6. Q: Can I assign cards to team members in any country?

    A: Yes, Atlas operates in 60+ countries. The system automatically detects the team member's country.

  7. Q: If I make a mistake when assigning, how much time do I have to correct it? A: You should contact support as soon as possible. Once the team member activates the card, it's more complex to make changes.

Common mistakes to avoid:

❌ Selecting "Monthly" for a one-time bonus If the program has "Monthly" frequency, it will renew every month. For one-time bonuses, use programs with "One time" frequency.

❌ Not reviewing the summary before confirming Always verify "Total to be assigned" and "Funds left" before clicking "Assign cards".

❌ Assigning without sufficient funds for renewals If you assigned monthly programs, make sure you have funds for the next automatic renewals.
